Use a real reason to reconnect. Skip the message if you have nothing useful to add or the buyer has asked you to stop.

Answer a price question clearly

A buyer asks for a price, fees, or an out-the-door figure.

Hi [first name], the current advertised price for the [vehicle] is [verified price]. I'll confirm the applicable fees and taxes with our team so you can review an itemized quote. Which ZIP code will you register it in?

Do not guess taxes, fees, financing terms, or discounts. Use the dealership's approved quote process.

When the vehicle has sold

The exact listing is no longer available.

Hi [first name], that [vehicle] has sold. I'm sorry the listing was still visible. If you're open to another option, what mattered most about this one: the budget, size, mileage, or a particular feature? I'll only send options that fit.

Remove or update the stale listing. Do not use an unavailable vehicle to imply that it can still be purchased.

Offer a clear next step

The buyer's main question is answered and they want to see the vehicle.

Would you like to see the [vehicle] in person? I can check [day/time option one] or [day/time option two]. If neither works, what time is easier for you? I'll confirm the vehicle and appointment before you head over.

Offer real appointment options. An invitation is not a confirmed booking.

Include the actual address and a real contact. Record the appointment and conversation in your CRM.

An appointment was missed and the buyer has not opted out.

Hi [first name], we missed you for your visit today. Would another time work better, or have your plans changed? Either is fine. Let me know what works and I'll check the vehicle's availability before rescheduling.

Avoid guilt, pressure, or pretending the vehicle is being held. Respect a request to stop.

Before a vehicle listing goes live

Publishing a new listing or reviewing existing inventory.

1. Confirm the vehicle is in stock and available. 2. Match the year, make, model, trim, mileage, and stock reference to your inventory source. 3. Verify the price and explain applicable conditions using approved dealership wording. 4. Use current photos of the actual vehicle. 5. Describe condition and equipment accurately. 6. Check contact information and the route for buyer inquiries. 7. Assign responsibility for responding and updating the listing. 8. Check the platform's current listing rules. 9. Update price changes and remove sold vehicles promptly.

A conversation becomes an appointment or needs a teammate's help.

1. Record the vehicle or requirements the buyer asked about. 2. Summarize questions already answered and anything still outstanding. 3. Confirm the buyer's preferred contact channel and any contact restrictions. 4. Record the agreed date, time, time zone, and location. 5. Assign a named teammate and a backup. 6. Check vehicle availability before the visit. 7. Send confirmed details through the buyer's agreed channel. 8. Record the outcome: arrived, rescheduled, canceled, or no-show. 9. Stop scheduled follow-up when the buyer replies, books, or opts out, as appropriate.
