Getting started

Setting Up Your Dashboard
  1. Use the dashboard sign-in link from your welcome email or the link below. If access is missing, ask your onboarding contact to confirm the account email.
  2. Confirm your dealership and assigned rep or manager role. Review a sample lead and appointment with your onboarding contact.
  3. Keep your existing CRM as the system of record. Confirm which activity is handed off and who owns follow-up.
Connecting Your Dealership Account
  1. Identify the dealership contact responsible for inventory, network access, and enrolled Facebook accounts.
  2. Share your approved inventory feed through the onboarding process. Never email passwords or payment-card details.
  3. Confirm Q.CONNECT device installation and a working test listing before activation.
Adding Sales Reps & Manager Access
  1. Send your onboarding contact the rep names, work emails, store locations, and required roles.
  2. Confirm plan capacity and who can view dealership-wide activity before adding seats.
  3. When someone leaves, request access removal and confirm ownership of their leads and listings.
Quick Start Checklist
  1. Confirm your plan, setup fee, trial dates, and continuation terms.
  2. Prepare the inventory feed, enrolled accounts, dealership connection, and CRM contact.
  3. Review posting, buyer escalation, appointment handoff, and team training before going live. Timing depends on your setup.
Understanding Your Daily Workflow
  1. Review new conversations and upcoming appointments at the start of the day.
  2. Confirm vehicle availability and assign a person to conversations that need human judgment.
  3. Record completed visits and sales in your CRM, then reconcile exceptions with the dashboard.

Buyer conversations

Configuring Q.HANNAH
  1. Q.HANNAH communicates with buyers. Q CRM Intelligence determines actions; Sales Coach is a separate rep-training product.
  2. Provide approved dealership information, inventory details, appointment rules, and escalation contacts during onboarding.
  3. Test availability questions, a booking, a reschedule, and a request that needs a salesperson. Confirm the enabled channels for your plan.
Adjusting Personality & Tone Settings
  1. Give your onboarding contact examples of the tone your dealership wants to use.
  2. Keep replies accurate and clear about the assistant role. Do not invent urgency, financing approval, or vehicle availability.
  3. Review sample conversations with your team before approving a change.
How the AI Learns from Interactions
  1. Treat approved dealership information and inventory as the starting reference. Do not assume every conversation automatically retrains the system.
  2. Report incorrect answers with the conversation time and relevant vehicle identifier.
  3. Ask the team to confirm how a correction will be applied and review a new sample response.
Managing Automated Follow-Ups
  1. Confirm the channels and follow-up workflow included in your plan. Extra channels require separate scope.
  2. Agree on timing, buyer permission, human ownership, and stop conditions such as opt-out, booking, or a sold vehicle.
  3. Test that messages stop or hand off when the agreed condition occurs.
Troubleshooting Stuck Conversations
  1. Check whether a salesperson has taken over or the buyer has opted out.
  2. Record the time, account, vehicle, and the last expected action without sharing unnecessary personal data.
  3. Contact support with those details. Have a salesperson handle the buyer while the issue is reviewed.

Connections

Facebook Marketplace Integration Guide
  1. Confirm account eligibility and applicable Meta policies before enrollment. QUANTUM cannot guarantee freedom from account reviews.
  2. Identify the inventory feed, enrolled accounts, and dealership network contact for Q.CONNECT.
  3. Validate a sample listing, a price change, and sold removal with your onboarding contact.
Sales Dashboard Setup
  1. Identify your CRM and the person responsible for its permissions and lead routing.
  2. Agree on the fields to transfer, assignment rules, appointment destination, and error ownership.
  3. Verify a sample conversation and appointment in both systems. Your existing CRM remains the system of record.
Linking Retell / Zapier Automations
  1. Voice and third-party automations are custom work unless specifically included in your agreement.
  2. Document the trigger, destination, required permission, usage charges, and stop conditions.
  3. Ask QUANTUM to review the integration before connecting production accounts. Test with non-customer data first.
GLO3D Posting Integration
  1. Share your current inventory and photography workflow with the integration team.
  2. Confirm whether your specific provider and feed format are supported for the intended workflow.
  3. Test one vehicle and its image order before applying changes across inventory. Do not assume every third-party integration is included.
Data Sync Troubleshooting
  1. Compare the source feed and destination using one vehicle or lead identifier and a timestamp.
  2. Note the field that differs and whether the source was recently changed. Avoid repeated manual imports that could create duplicates.
  3. Send the example to support and confirm the expected sync interval for your setup.

Training

Daily Sales Habits of Top Performers
  1. Use the free Performance Engine to choose a practical daily routine.
  2. Set time for new leads, appointments, existing customers, and one focused practice session.
  3. Review completion and buyer outcomes with a manager instead of treating any sales volume as guaranteed.
Building Consistency & Structure
  1. Choose one sales behavior to practice this week, such as asking a useful follow-up question.
  2. Use the same checklist for each relevant conversation and keep brief notes.
  3. Review what helped buyers take the next step, then adjust the routine.
Leadership Playbook for Sales Managers
  1. Choose a coaching topic from actual team conversations.
  2. Practice with a short example, agree on the desired behavior, and set a review date.
  3. Measure the behavior alongside appointment quality and customer feedback.
The Psychology of the Sale
  1. Ask what matters to the buyer and listen before recommending a vehicle.
  2. Confirm concerns in the buyer's own words. Offer a factual answer or involve the right specialist.
  3. Agree on a useful next step without pressure or invented scarcity.
Coaching Reps with the Sales Coach
  1. Open the separate Sales Coach app linked from Q.TRAIN. Paid coaching and free playbooks are distinct options.
  2. Choose one objection or follow-up situation and practice an accurate, buyer-focused response.
  3. Review the practice with your manager and apply the lesson to the next appropriate conversation.

Billing

Updating Payment Information
  1. Use the secure billing instructions supplied for your account. Do not send card numbers by email or chat.
  2. If you cannot locate the correct payment portal, ask support to confirm it.
  3. Confirm the account, billing address, and effective date of the change.
Plans and Pricing at a Glance
  1. Choose individual, five-rep, ten-rep, or custom scope on the pricing page.
  2. Compare posting-only with Marketplace plus AI. Training and additional workflows are separately listed.
  3. Review the monthly rate, one-time setup fee, and included seats together before activation.
Switching Between Plans
  1. Tell support your current package and the rep count or capability you need to change.
  2. Request the new monthly cost, any setup or adjustment charge, and the effective date in writing.
  3. Confirm affected accounts and handoff responsibilities before the change takes effect.
Dealer Groups, Volume Pricing, and Referrals
  1. Provide the number of rooftops, enrolled reps, and current systems.
  2. Request a written quote identifying location-specific setup and recurring fees.
  3. Confirm any referral credit or volume arrangement in the quote. Do not assume an unlisted discount applies.
Refunds, Cancellations, and Reactivation
  1. Review your signed agreement for notice requirements and billing dates.
  2. Contact support with your account email and requested effective date. Ask for written confirmation.
  3. Agree on listing removal, data export, and access changes. Confirm any reactivation fee or data availability before restarting.
Understanding Your Invoice
  1. Match each line to your selected plan, enrolled seats, setup fee, and approved add-ons.
  2. Compare the billing period and any usage-based services with your agreement.
  3. Send the invoice reference and the disputed line to support. Do not include full card details.

Troubleshooting

Resetting User Logins
  1. Open the official dashboard sign-in page and use its password-recovery option.
  2. Check the account email and spam folder if a reset message does not arrive.
  3. If access still fails, contact support with the account email. Never share your password or a reset link.
Chat Widget Not Responding
  1. Confirm that the affected website or messaging channel is enabled in your agreement.
  2. Record the URL or channel, time, and visible error. Have a person respond through an available channel.
  3. Contact support with the example and confirm the next update. Website widgets are not automatically included in Marketplace plans.
Missing Marketplace Posts
  1. Confirm the vehicle is active in your source feed and the enrolled account is eligible to post.
  2. Check the account for a platform notice and verify the dealership connection is online.
  3. Record the vehicle, account, and last expected update for support. Do not bypass a restriction by creating replacement accounts.
Dashboard Sync Delays
  1. Compare the source and dashboard timestamps for one record.
  2. Confirm the expected update interval and whether the record was changed recently.
  3. Send support the record identifier, source, destination, and time. Use your CRM for immediate follow-up while the discrepancy is reviewed.
AI Not Replying - Quick Fix Checklist
  1. Confirm the buyer has not opted out and the conversation is not intentionally assigned to a person.
  2. Check whether the affected account, channel, and inventory are part of the active setup.
  3. Have your team answer urgent buyer questions, then send support the time and conversation reference for diagnosis.
